  • Paper type: Bond (uncoated, wood-free) — the standard for letterheads. Coated paper (glossy or matte art paper) is not suitable as ink from pens and printers does not adhere well.

Paper Choice: The Variable That Matters Most

Standard Bond Paper (80–90 GSM)

Premium Bond / Writing Paper (100–120 GSM)

Noticeably heavier in hand. Used by law firms, chartered accountants, banks, and senior executives for formal correspondence. Accepts pen ink cleanly without bleed-through. At 120 GSM, the sheet holds a distinct rigidity that reads as quality. This is the segment where spending slightly more per sheet is justified by the impression it makes.

Conqueror, Laid, or Watermarked Paper (90–100 GSM)

Specialty papers with subtle texture (laid lines) or embedded watermarks. Historically associated with government and legal institutions. Still used by law firms, chartered accountants, and senior correspondence in corporate India. These papers cost 3–5× more than standard bond but are unambiguously premium. Not suitable for inkjet office printers — intended for laser output or pre-printed with typed content added later.

Recycled or Eco-Certified Paper

Increasingly requested by companies with sustainability mandates or ESG reporting requirements. Available at 80–100 GSM, FSC-certified. Typically 15–25% more expensive than standard bond of the same weight.

Print Specifications: Colour, Coverage, and Technique

Full-Colour (4C CMYK) vs Spot Colour (1–2C)

Most company letterheads use 1–3 brand colours at most. For low-colour-count designs, spot colour offset printing (using Pantone or mixed inks) gives more accurate colour matching than 4C CMYK — critical for logos where brand colour is precise. If your logo uses a specific Pantone reference, specify it. 4C printing is fine for complex multi-colour designs or photographic elements in the header.

Print Coverage and Safe Margins

Letterheads should maintain a minimum 15mm left margin and 25mm top margin to keep header design out of the way of typed content. Common mistakes: a full-bleed coloured header that leaves insufficient space for the date/reference line, or a footer so close to the edge that it clips when printed on office printers with non-standard margins.

Watermark Printing

A light-toned logo or pattern printed as a watermark on the body of the sheet (not the header) is a premium detail seen in legal and financial correspondence. Requires a separate print pass and adds cost, but is achievable in offset runs of 2,000+ sheets.
